Job Summary: Primary responsibility will be to provide exceptional service for internal and external customers. Serves as assistant to Director of Sales, oversees Customer Service department, provides support to Sales Team and manages distribution of marketing material for sales.
Essential Duties and Responsibilities:
- Assistant to Director of Sales (35%)
- Business development management
- Conduct lead follow-up from all sources. Qualify leads, forward to RSM or Distributor.
- Outbound calling to prospects in coordination with Director of Sales.
- Management of Salesforce.com data.
- Manage and facilitate sales calendar.
- Coordinate sales meetings.
- Develop Presentation materials.
- Process management reports for Director of Sales.
- Process sales revenue data.
- Process expense reports for Director of Sales.
- Administrative duties as directed.
- Customer Service (35%)
- Recruit, train and manage Customer Service Representative(s).
- Day to day management of Customer Service including coverage daily for lunch and breaks and also for Vacation/PTO of Customer Service Representative.
- Manage inbound and outbound calls with customers.
- Process new distributor set up and maintain distributor database.
- Implement all price change notifications to customers and internal staff in coordination with Accounting.
- Review all transfer and pool shipment orders.
- Review and sign off on all freight invoices.
- Communicate to Director of Sales and Sales Team any inventory issues.
- Responsible for communication to Quality Assurance Manager all recall/complaint issues.
- Development of all relevant SOP's.
- Sales Team Support (25%)
- Assist with Lead follow-up.
- Manage outbound calling to prospects.
- Process expense reports for Regional Sales Managers.
- Coordinate regional Trade Shows and Events.
- Process all sales and manufacturing sample requests.
- Develop and implement sales training program, including product knowledge, policies and procedures, time and territory management.
- Marketing Material Liaison (5%)
- Manage distribution of all sales collateral and marketing materials to sales team, distributor network and customers.
Additional Responsibilities:
- Interact with all departments as required.
- Assure Customer Service Department compliance with corporate policies and procedures.
Supervisory Responsibilities: Customer Service Representative(s).
Job Requirements:
Education/Experience: BA/BS preferred with 2 years minimum job related experience. Ideal candidate has experience in foodservice industry with a gourmet food manufacturer and familiarity with foodservice industry concepts.
Skills: Competencies: Excellent written and verbal communication skills with high level of accuracy and detail. Ability to manage multiple projects and meet deadlines. Must possess exceptional skills in decision making, problem solving, collaboration and customer service. Strong organizational and time management skills. Must be able to work independently within a team environment. Need to be able to maintain confidentiality and professionalism at all times.
Knowledge: Strong overall computer skills and basic Information Technology knowledge. Demonstrated proficiency in MS Office, particularly in Word, Excel and Outlook. Knowledge of Salesforce.com preferred.
Physical: Ability to work at a computer for periods of time up to (8) hours. Ability to work on feet for periods of time up to six (6) hours. Must be comfortable accessing a freezer maintained at zero degrees for short periods of time. Ability to lift 40 lbs.

Job Title: Production Planner Date: 05/08/12 FLSA Status: Exempt Job Reports To: Operations Analyst New or Revised Position: Revised/Updated Division: Operations
Job Summary:
Production planning, scheduling and staging for the manufacture of TPPNV products. Raw Materials & Finished Goods inventory management. Production analysis, reporting and records management.
Essential Duties and Responsibilities:
- Planning and Scheduling: (60%)
- Creates internal production calendar based from co-packer production schedule. Updates release production orders in Navision. Adjusts schedules as needed to expedite production based on sales demand and inventory turn.
- Coordinates and confirms all release orders, shipments and deliveries for production runs in accordance with production schedule and production calendar.
- Stages all aspects of production runs with co-packing facilities, including raw material releases, essential ingredients and packaging materials.
- Plans sequence of production, assembly, and other manufacturing operations as a guide for production workers.
- Controls flow of all raw materials, essential ingredients and dry packaging materials to co-packer and shipment of finished cased goods to cold storage warehouse.
- Serves as liaison between TPPNV and co-packer on day-to-day issues in production.
- Closes out each production folder following the completion of each production run.
- Inventory Control & Analysis: (20%)
- Receives and verifies all Proof of Deliveries ("PODs") for all raw materials, packaging shipped from suppliers to co-packer and warehouses and posts materials receipts in Navision.
- Responsible for management of raw materials, ingredients and finished goods inventory in Navision for TPPNV and all warehouses.
- Performs quarterly systems inventory reconciliation of Navision inventory with Co-packer and all contracted RM/FG Warehouse systems inventory. Periodically schedules on-site physical inventory counts as required to reconcile inventories.
- Responsible for Finished Goods warehouse FIFO inventory management and Finished Goods, Raw Material and Packaging aging/obsolete analysis and reporting.
- Prepares Raw Materials and Finished Goods freight expense reconciliation and month end close accruals at the end of each month.
- Production Analysis and Reporting: (20%)
- Reviews production documentation for accuracy and compliance with Company's standards.
- Audits production documents received from Copackers for each completed production, prepares TPPNV BPR's worksheet and posts Batch Reporting for all productions in Navision.
- Manages process of compiling and final review of company production records (files).
- Works with Quality Assurance Manager to monitors microbiological results from production runs to ensure compliance with Company Standards.
- Participates as a member of Company's Product Recall Team.
Additional Responsibilities:
- TPPNV Warehouse daily operations including over-site of Logistics Coordinator and Warehouse & QA Assistant.
- Confers with department supervisors to determine status of assigned projects.
- Individually, and in conjunction with managers and staff, assures all safety criteria are met or exceeded through regular observation and participation in safety trainings.
- Oversee warehouse and all shipping of TPPNV products.
- Order packaging materials for TPPNV & cold storage facility
Supervisory Responsibilities: Warehouse Operations at TPPNV; Logistics Coordinator, and Warehouse and QA Assistant.
Job Requirements:
Education/Experience: Bachelor's degree (B.A.). Minimum 3-5 years related experience and/or training; or equivalent combination of education and experience.
Skills: Team-oriented and independently motivated with strong leadership skills in all essential job functions. Must be flexible with work and interacting with different personalities. Excellent grammar and mathematical skills with the ability to calculate accurate volumes and weights and apply basic concepts of algebra and geometry to duties. In-depth working knowledge of Inventory Requirement Planning, including familiarity with Inventory Requirement Planning (IRP) software. Must be adept in use of MS Office 2003 or later, particularly Access, Excel, Word, Navision and or similar database; Internet, email, inventory software, order processing systems and manufacturing software. Excellent interpersonal and organizational skills and attention to detail.
Knowledge: Basic knowledge in Food Science or a related field is preferable but not required.
Physical: Capacity to walk up and down stairs while carrying objects weighing 32 lbs. Ability to work on feet for at least 6 hours. Ability to work at a computer for periods of time up to (8) hours. Periodically needs to work onsite at a production facility during manufacturing for (8-12) hours in a day. Ability to lift packages up to 55 lbs, periodically. Must be able to operate basic warehouse equipment such as a pallet jack or fork lift after proper training. Ability to be in a freezer for extended periods of time with proper attire. The noise level in the work environment is usually quiet to moderately loud.
Other: (Includes licenses, certificates, age, etc.) Must be at least 21 years of age and possess a valid driver's license in the state employed. Must have an acceptable driving record, valid driver's license and automobile insurance meeting Company's requirements. Must have the ability to travel out-of-town via automobile or commercial aircraft to either a Copacker or Cold Storage facility once a month for one to four consecutive days, with hotel accommodations provided by the Company. Professional appearance and high standards of personal hygiene at all times.
